GENERAL TERMS & CONDITIONS
These terms and conditions, as may be amended from time to time, apply to all our services directly or indirectly (through distributors) made available online, through any mobile device, by email or by telephone. By accessing, browsing and using our website or any of our applications through whatever platform (hereafter collectively referred to as the "website") and/or by completing a reservation, you acknowledge and agree to have read, understood and agreed to the terms and conditions set out below (including the privacy statement).
These pages, the content and infrastructure of these pages, and the online accommodation reservation service provided on these pages and through the website (the "service") are owned, operated and provided by Polonia BG ("Polonia BG", "us", "we" or "our") and are provided for your personal, non-commercial use only, subject to the terms and conditions set out below.
Scope of the General Terms
These General Terms apply to all the pages of the site: www.greekonza.com and to all the services, which can be bought and paid by the site: www.greekonza.com. The site is property of ‘Polonia BG’ Sole proprietor Ltd., registered under the Bulgarian legislation and entered into the Commercial Register at the Registry Agency under Unified identification number 200633506, with address of registration: Bulgaria, Burgas 8008, ‘Izgrev’ residential complex, block 140, 2-nd entrance, 4th fl., apartment 23, which has license for Tourist and Touroperator activities No PK-01-6370.
When visiting and/or buying services through it, you unconditionally agree to the Terms and Conditions herein described.
Terms of booking
Making a booking through our website, you declare that the services we provide you are not for further resale.
Booking with "instant confirmation"
The booking system of the site offers available rooms with the possibility of booking immediately upon payment with bank card. The supported types of cards are: Visa, MasterCard, Maestro, Visa Electron and Borika. Any booking paid with bank card through the Internet is automatically confirmed and your stay at the selected hotel is guaranteed. Even though there is a very slight possibility if right at the moment when you choose the room and make the payment, another client(s) books the last free rooms through the Internet, the amount you paid with your card, will be refunded by debit transaction within 3 working days.
Usually, when the requested rooms are available, the booking is made under the terms of recoverability of the amount paid, which terms are explicitly described when choosing the type of payment that you make in the process of making a booking.
If the booking is made under Rate without reimbursement of the value (non- refundable), the entire amount of the booking is non-refundable from the moment in which the booking was made and confirmed.
To finalize the reservation process we will send you our hotel voucher which you need to present at the hotel reception for your accommodation, after we receive payment in full for your reservation. In case you choose to pay through our virtual POS terminal, you will receive the hotel voucher immediately after finalising the payment process. The deadlines for payment will vary depending on the type of discount involved and will be communicated to you in a separate e-mail. Please note that in case a confirmed reservation is not paid before the payment deadline, it will be cancelled by us.
Booking "on request"
In the cases when an instant confirmation is not available, a reservation request can be sent to us and our reservation team will reply as soon as possible. If you eventually make a reservation you will receive a confirmation e-mail with a unique reservation number, description of the services included and the rate.
To finalize the reservation process we will send you our hotel voucher which you need to present at the hotel reception for your accommodation, after we receive payment in full for your reservation.
The deadlines for payment will vary depending on the type of discount involved and will be clearly stated in the confirmation e-mail. Please note that in case a confirmed reservation is not paid before the payment deadline, it will be cancelled automatically.
The prices and conditions "on request", are based on the availability for a certain period. If you decide to proceed with the payment of your booking later than 24 hours after you have received an offer form Greekonza.com, please check if the requested services are still available.
Age of the children is determined at the time of check out.
Some hotels accept pets under conditions. Please contact us for further information before you book!
Early booking, Last minute, Special offers
Reservations with early booking discount, last minute discount or any special offer will be accepted until 12 o’clock on the last day of the discount.
We do not guarantee that reservations received after this hour will be confirmed with Early Booking/Last minute/Special offer discount.
Reservations with Early Booking/Last minute/Special offer discount have to be paid according to the validity of the discount.
If the reservation is not paid on time it will be cancelled.
Any changes of reservations with Early Booking/Last minute/Special offer discount will be considered as a new reservation and the discount will be lost. Cancelation of reservation with Early booking discount is non refundable after the last day of the discount.
We are aimed at the utmost satisfaction of our loyal and potential clients, so we provide the best available rates for the dates of your stay. Our discounted rates are valid only for reservations made through us and they are not valid for reservations, made directly at the hotel.
Special discounted deals are also on offer for early bookings, last minutes, city breaks, weekend specials, long stay, groups, meetings etc.
Please note, that we do not charge a booking fee. Our service is free of charge because, unlike many other parties, we will not charge you for our service or add any additional (reservation) fees to the room rate.
Please note, that confirmed but unpaid on time bookings are automatically canceled, without any commitment on our side.
Please, select all your special requirements in the field ‘Additional information/ requirements’. We will do our best to meet them, although we can’t give full guarantee for that.
The board arrangement for each hotel or holiday is clearly shown in the hotel description.
BB (Bed and breakfast) - denotes bed and continental breakfast usually from a buffet selection or on a daily menu.
HB (Half board) - denotes breakfast and evening meal;
FB (Full board) - denotes breakfast, lunch and evening meal.
AI (All Inclusive) - denotes breakfast, lunch and evening meal, drinks (local or imported as per hotel policy), usually snacks between the meals (not compulsory, depends on the hotel policy).
UAI (Ultra All Inclusive) – AI with some additional services as per the hotel policy.
RO (Room Only) - denotes accommodation only without meals.
SC (Self Catering) - for properties that provide a kitchenette.
In some hotels all meals are served buffet style, and when this is known in advance it is detailed in the website. Please note however that our suppliers reserve the right to change the meal basis from buffet style to table service or vice versa. The choice of meals for vegetarians or those requiring other special diets is very limited, usually restricted to salads and omelettes.. If a special diet is essential for you, we may have to decline your booking. Please also remember that meals for infants are paid on spot and not always could be provided.
In cases where festive dinners (eg. The New Year, Christmas) are optional, no standard dinner is served, no matter what meal plan you choose (HB, FB, AI)!
Prices and payment through the Internet and by bank transfer
All payments through the Internet in the Site are made in Bulgarian leva (BGN). When the prices are in another foreign currency, most often in Euro (€), the payment will be done according to the pegged exchange rate to the Euro, which is 1,00 € =1,95583 leva or when the price is fixed in a currency other than Bulgarian lev (BGN) and Euro (€), then the exchange rate for no more than the last working day from the site of the Bulgarian National Bank will be used, which is based on the exchange rate of the ECB.
Depending on the currency and the bank which issued your card, It is possible, that there will be difference of few cents between the transferred amount stated in your bank statement and the stated amount in the confirmation sheet, if you’ve chosen €, $ or £ when making the booking.
Payments through the Internet are made through a virtual POS terminals by redirecting your encrypted connection to a server of the Bulgarian national card operator ’Borika’. In any case, you should make sure that no information regarding your bank card will reach us, but only the information about the status of the completed transaction.
Payments by bank transfer are made to the specified bank account of our company, in the currency stated on the invoice. You must state the ‘booking number’ in the grounds of payment.
Some specific offers/holiday offers and bookings with a discount for ‘early booking’ require payment of the full amount in advance in an earlier term. We will inform you about the terms of payment.
Policy of changes and cancellations
Changes and cancellations of made bookings are accepted only in writing – by e-mail or by fax. All changes or cancellations must be received on weekdays from 09:00 a.m. to 18:00 p.m. local time. If the cancellation is received on a non-working day or in non-working hours, the moment of its receipt will be considered the first working day after its receipt. Non-working days are: Saturdays, Sundays, all the national holidays of the Republic of Bulgaria.
In case you want to change the dates of your stay on already paid booking, you can contact us via the form, the stated in the site ‘Contacts’, email or phone. The site doesn’t guarantee the possibility of change on already made bookings.
If you wish to change some of the details in your booking after receiving confirmation, we will do our best to help you, but we can’t guarantee it. There will be some changes made in the total price of your booking under the new conditions. If changes are made immediately before arrival (in case when the deadline for cancellation has expired), ’Polonia BG’ Ltd. reserves the right to put penalties.
Cancellation deadlines are described in the General terms below. If you comply with these deadlines you will not be charged with cancellation penalties for the booking. In case of cancellations beyond those terms or in case that you don’t appear at the hotel, you will be charged with a penalty according to the present General terms.
In very rare cases, ‘Polonia BG’ Ltd. might have to make a change in your original booking for reasons that don’t depend on the company. In such cases, you will be informed immediately and will be offered alternative accommodation of the same or higher category. In case you decide to cancel your booking because of the changes, the full amount of money paid will be refunded.
Please note, that some hotels may have their own policy of cancellation. In this case, the specific policy of cancellation will be explicitly stated in the description of the hotel and it will be applicable for cancellations of standard fees. In all other cases, the standard terms of cancellations and penalties, which are an integral part of the present General terms, will be applied.
Terms of cancellations and penalties
Unless otherwise is stated to the hotel tariffs, the following cancellation and penalty terms and conditions apply:
Seaside hotels (New Year and Christmas holidays from 27.12 to 08.01 are not included and Christmas holiday from 22 to 26.12 are not included).
- For accommodation in June and September – for cancellations made 14 days or more working days before the beginning the stay, the full amount will be refunded. For cancellations made 13 or less working days before the beginning of the stay, as well as in case of non-appearing, the whole amount is non-refundable.
- For accommodation July and August – for cancellations made 21 days or more working days before the beginning the stay, the full amount will be refunded. For cancellations made 20 or less working days before the start of stay, as well as in case of non-appearing, the whole amount is non-refundable.
- For accommodation in the remaining months – for cancellations made 7 days or more working days before the beginning the stay, the full amount will be refunded. For cancellations made 6 or less working days before the beginning the stay, as well as in case of non-appearing, the whole amount is non-refundable.
Mountain hotels (the New Year holidays from 27.12 to 08.01 are not included and the Christmas holidays from 22.12 to 26.12 are not included).
- For accommodation in December (the New Year holidays from 27.12 to 08.01 are not included and the Christmas holidays from 22.12 to 26.12 are not included) – for cancellations made 8 days or more working days before the beginning the stay, the full amount will be refunded. For cancellations made 7 or less working days before the beginning of the stay, as well as in case of non-appearing, the whole amount is non-refundable.
- For accommodation in January – for cancellations made 15 days or more working days before the beginning the stay, the full amount will be refunded. For cancellations made 14 or less working days before the start of stay, as well as in case of non-appearing, the whole amount is non-refundable.
- For accommodation in the remaining months – for cancellations made 6 days or more working days before the beginning the stay, the full amount will be refunded. For cancellations made 5 or less working days before the beginning the stay, as well as in case of non-appearing, the whole amount is non-refundable.
City hotels (the New Year holidays from 27.12 to 08.01 are not included and the Christmas holidays from 22.12 to 26.12 are not included).
- For cancellations made 8 days or more working days before the beginning the stay, the full amount will be refunded. For cancellations made 7 or less working days before the beginning of the stay, as well as in case of non-appearing, the whole amount is non-refundable.
- For cancellations of a stay during official and national holidays, as well as during the exhibitions, fairs and other similar events with high occupancy of hotels made 22 or more working days before the beginning of stay, the full amount will be refunded. For cancellations made 21 or less working days before the beginning of the stay, as well as in case of non-appearing, the whole is non-refundable.
Christmas holidays (22-26.12 included) for all hotels
- For cancellations made 15 days or more working days before the beginning of the stay, the full amount will be refunded. For cancellations made 14 or less working days before the beginning of stay, as well as in case of non-appearing, the whole amount is non-refundable.
New Year holidays (27.12-08.01 included) for all hotels
- For cancellations made 31 days or more working days before the beginning of the stay, the full amount will be refunded. For cancellations made 30 or less working days before the beginning of the stay, as well as case of non-appearing, the whole amount is non-refundable.
Terms of cancellation and penalties – Rate without reimbursement of the value (non- refundable) for all hotels
Cancellations according to the rate without reimbursement of the value (non-refundable) are not possible in any case and under no circumstances. In this case, the entire amount of the booking is non-refundable from the moment in which the booking was made and confirmed.
Polonia BG reserves the right to cancel or modify already confirmed and paid reservations if the total price of the reservation does not apply for the nationality of the tourists. In this case we will inform you and notify you if an additional supplement is needed. If you reject the change within 24 hours of sending the notification, the reservation amount will be refunded as per our terms and conditions.
When paying with debit or credit card, the refund is made only through a debit card transaction with which the payment was made, when the transaction was made less than 20 calendar days ago. After this period is expired, the reimbursement shall be made by bank transfer to the bank account you specify, after the deduction of the transaction costs.
When paying by bank transfer, the refund shall be made by bank transfer to the bank account from which you’ve made the payment after deduction of the transaction costs.
Your booking is guaranteed and the paid amount will be returned in case of cancellation in accordance with the terms of cancellation.
Ranking and guest reviews
The default setting of the ranking of accommodation on our website is 'Recommended' (or any similar wording) (the "Default Ranking"). For your convenience we also offer other ways to rank accommodation. Please note that the Default Ranking is created through a fully automatic ranking system (algorithm) and based on multiple criteria.
The completed guest review may be:
- uploaded onto the relevant accommodation property's information page on our website for the sole purpose of informing (future) customers of your opinion of the service (level) and quality of the accommodation
- wholly or partly used and placed by Polonia BG at its sole discretion (e.g. for marketing, promotion or improvement of our service) on our website or such social media platforms, newsletters, special promotions, apps or other channels owned, hosted, used or controlled by Polonia BG and our business partners.
We reserve the right to adjust, refuse or remove reviews at our sole discretion. The guest review form should be regarded as a survey and does not include any (further commercial) offers, invitations or incentives whatsoever.
By uploading photos/images onto our system (for instance in addition to a review) you certify, warrant and agree that you own the copyright to the photos/images and that you agree that Polonia BG may use the uploaded photos/images on its (mobile) website and app, and in (online/offline) promotional materials and publications and as Polonia BG at its discretion sees fit. You are granting Polonia BG a non-exclusive, worldwide, irrevocable, unconditional, perpetual right and license to use, reproduce, display, have reproduced, distribute, sublicense, communicate and make available the photos/images as Polonia BG at its discretion sees fit. By uploading these photos/images the person uploading the picture(s) accepts full legal and moral responsibility of any and all legal claims that are made by any third parties (including, but not limited to, accommodation owners) due to Polonia BG publishing and using these photos/images. Polonia BG does not own or endorse the photos/images that are uploaded. The truthfulness, validity and right to use of all photos/images is assumed by the person who uploaded the photo, and is not the responsibility of Polonia BG. Polonia BG disclaims all responsibility and liability for the pictures posted. The person who uploaded the photo warrants that the photos/images shall not contain any viruses, Trojan horses or infected files and shall not contain any pornographic, illegal, obscene, insulting, objectionable or inappropriate material and does not infringe any third party (intellectual property right, copyright or privacy) rights. Any photo/image that does not meet the aforesaid criteria will not be posted and/or can be removed/deleted by Polonia BG at any time and without prior notice.
When making your booking, your data which are recorded in the database of the Site are:
- Name and surname you specify;
- Telephone you specify;
- E-mail you specify. All confirmations and vouchers are sent to the stated e-mail address, so it is extremely important that this e-mail is valid;
- The names of the guests who you indicated;
- Your IP address;
- The history of the pages you visited within the session in which you made your booking.
The received data is used solely for the purposes of providing accommodation requested by you and for the purposes of internal marketing analysis. Your data, excluding the data of accommodation which will be presented to the hotel and/or other licensed tour operator you selected from which we purchased the contingent for the hotel you chose, will not be sold, shared and/or presented to third parties in any way and by no means.
This site uses the statistical tool ‘Google Analytics’. You can find the General terms of this statistical tool on its own website (http://www.google.com/analytics) .
By completing a booking, you agree to receive an email, giving you information on your destination and providing you with certain information and offers (including third party offers to the extent that you have actively opted in for this information) relevant to your reservation and destination.
Intellectual property rights
Unless stated otherwise, the software required for our services or available at or used by our website and the intellectual property rights (including the copyrights) of the contents and information of and material on our website are owned by Polonia BG, its suppliers or providers.
Polonia BG exclusively retains ownership of all rights, title and interest in and to (all intellectual property rights of) (the look and feel (including infrastructure) of) the website on which the service is made available (including the guest reviews and translated content) and you are not entitled to copy, scrape, (hyper-/deep)link to, publish, promote, market, integrate, utilize, combine or otherwise use the content (including any translations thereof and the guest reviews) or our brand without our express written permission. To the extent that you would (wholly or partly) use or combine our (translated) content (including guest reviews) or would otherwise own any intellectual property rights in the website or any (translated) content or guest reviews, you hereby assign, transfer and set over all such intellectual property rights to Polonia BG. Any unlawful use or any of the aforementioned actions or behaviour will constitute a material infringement of our intellectual property rights (including copyright and database right).
Responsibility of the client
When a customer makes a booking through our website, he enters into contractual relations with ‘Polonia BG’ Ltd. and accepts the present General Terms. Customers using the services of the page should be of legal age according to the Bulgarian legislation /18 years of age/.
Also, it is the customer's responsibility to follow the accepted standards of good behavior during their stay at the hotel. All expenses for caused material damages to the hotel by a customer will be owed by the customer at the hotel.
Responsibility of ‘Polonia BG’ Ltd.
The information on this page is provided by ‘Polonia BG’ Ltd. and it is updated regularly. It is based mostly on the information received from the hotels described on the page. The hotel category is provided as per the tour operator standards as the properties have infrastructure and the quality of the product similar to this category.. It may be different from the official hotel category according to the regulations for accomodation At the same time the quality of services should meet their official category according to Bulgarian legislation. All claims by the customers shall be settled at the hotel, for which the client should address the representative of the hotel.
Hotel rooms may vary in size and style. Guests can be accommodated in a different room from the images shown here as examples only.
Subject to the limitations set out in these terms and conditions and to the extent permitted by law, we shall only be liable for direct damages actually suffered, paid or incurred by you due to an attributable shortcoming of our obligations in respect to our services, up to an aggregate amount of the aggregate cost of your reservation as set out in the confirmation email (whether for one event or series of connected events).
However and to the extent permitted by law, neither we nor any of our officers, directors, employees, representatives, subsidiaries, affiliated companies, distributors, affiliate (distribution) partners, licensees, agents or others involved in creating, sponsoring, promoting, or otherwise making available the site and its contents shall be liable for (i) any punitive, special, indirect or consequential loss or damages, any loss of production, loss of profit, loss of revenue, loss of contract, loss of or damage to goodwill or reputation, loss of claim, (ii) any inaccuracy relating to the (descriptive) information (including rates, availability and ratings) of the accommodation as made available on our website, (iii) the services rendered or the products offered by the accommodation provider or other business partners, (iv) any (direct, indirect, consequential or punitive) damages, losses or costs suffered, incurred or paid by you, pursuant to, arising out of or in connection with the use, inability to use or delay of our website, or (v) any (personal) injury, death, property damage, or other (direct, indirect, special, consequential or punitive) damages, losses or costs suffered, incurred or paid by you, whether due to (legal) acts, errors, breaches, (gross) negligence, willful misconduct, omissions, non-performance, misrepresentations, tort or strict liability by or (wholly or partly) attributable to the accommodation or any of our other business partners (including any of their employees, directors, officers, agents, representatives or affiliated companies) whose products or service are (directly or indirectly) made available, offered or promoted on or through the website, including any (partial) cancellation, overbooking, strike, force majeure or any other event beyond our control.
Whether the accommodation you stay at charges you (or has charged you) for your room or you pay to us, or we are facilitating the payment of the room price, you agree and acknowledge that the accommodation is at all times responsible for the collection, withholding, remittance and payment of the applicable taxes due on the total amount of the room price to the relevant tax authorities. Polonia BG is not liable or responsible for the remittance, collection, withholding or payment of the relevant taxes due on the room price to the relevant tax authorities.
‘Polonia BG’ Ltd. reserves its right to change the information on this page at any time. Although all efforts are made to provide correct information, such information can’t be guaranteed at all times!
To the extent permitted by law, these terms and conditions and the provision of our services shall be governed by and construed in accordance with Bulgarian law and any dispute arising out of these general terms and conditions and our services shall exclusively be submitted to the competent courts in Bulgaria.
If any provision of these terms and conditions is or becomes invalid, unenforceable or non-binding, you shall remain bound by all other provisions hereof. In such event, such invalid provision shall nonetheless be enforced to the fullest extent permitted by applicable law, and you will at least agree to accept a similar effect as the invalid, unenforceable or non-binding provision, given the contents and purpose of these terms and conditions.
